Position Overview:
We are a high-end design/build/fabrication firm seeking to hire an experienced Office Manager/Bookkeeper to oversee daily administrative operations and financial tasks. The ideal candidate will be highly organized, detail-oriented, a self-starter, and capable of managing multiple responsibilities efficiently. This position offers an exciting opportunity to contribute to the success and growth of our company.


Key Responsibilities:

  • Manage office operations including maintaining office supplies and answering the phone.
  • Assist the Controller
  • Handle accounts payable and receivable, including invoicing, payments, and reconciliations.
  • Compose construction draws, organize subcontracts, and collect lien releases
  • Process change order documentation per the Project Manager, insurance certs, pre-liminary notices etc.
  • Allocate employee hours from time sheets to specific jobs.
  • Maintain financial records and ensure compliance with accounting standards.
  • Assist with tasks such as onboarding new employees and managing employee records.

Qualifications:

  • Proven experience as an Office Manager/Bookkeeper or similar role.
  • Proficiency in QuickBooks on-line, Excel, Docu-Sign
  • Strong understanding of accounting principles and practices.
  • Excellent organizational and time management skills.
  • Ability to prioritize tasks and meet deadlines. Exceptional attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to maintain confidentiality of sensitive information.
  • Possess a notary license (preferred)
